This is a good time to have a look at your registration numbers, think about whether you need to do additional promotion, and finish planning your event. 

Checklist

  • Schedule a rehearsal
  • Appoint a photographer to capture your event
  • Refresh your presentation skills
  • Check your registration numbers
  • Set a reminder to record attendance numbers
  • Recording your event? Check you have permission
  • Ask for accessibility requirements
  • Plan for your final week of promotion

Capturing the activity

This is a good time to think about how you may wish to capture the event. If it’s online, will you record it? If it’s in person, will you take photos?

Make sure you have permission to photograph attendees before doing so. It is important to inform them in advance or at the door of the intention to take photos and give them the option to decline having their picture taken. 

Keep in mind the subject matter of your event. If it is a sensitive topic, taking photos may not be appropriate and could make your attendees uncomfortable. 

The benefits of capturing your event

By capturing your event, you can build a library of photographs which you can use to promote your services beyond Law Week. You can use these photos in your newsletters, social media, and website. (As well as promotional material for your future Law Week events!)

Tips for capturing your event

You don’t need to hire a professional. Taking a few pictures to record the event is quick and easy.

  • Use a decent camera (a good iPhone or Android phone is fine)
  • Appoint someone whose sole task is to photograph your event (or someone who doesn’t have many other duties during your event, as presenters and facilitators will be too busy)
  • If you’re recording your event (eg. your webinar), make sure you know how to capture the event. Do a rehearsal in advance so you are familiar with the process.
  • Make a list of photos you intend to capture, for example:
    • Attendees smiling and interacting with each other
    • Your presenter in action
    • Attendees reading your resources
    • People arriving at your venue
    • Your staff interacting with your attendees
  • Brief your photographer with what you want to capture and where you may use the images.
